UPDATED – CHILD SAFETY REQUIREMENTS

Coach and Team Manager Registration Requirements

All junior domestic teams must have both a coach and team manager registered to the team in PlayHQ. Each role must be filled by a person who meets the required child safety screening standards.

This applies to all teams under the junior domestic umbrella – Under 8’s to U21’s.

If a team has a member who fulfils both roles of coach and team manager, they must be registered for both roles.

  • Victoria Police are no longer exempt. Members must obtain and submit a current Working with Children Check for Basketball Victoria and FDBA screening purposes.
  • Teachers must submit their VIT number into PlayHQ.
    • Select Victorian Institute of Teaching in the drop down menu.

Coaches and team managers aged 18 years or over must hold a current and valid Working with Children Check, which must be correctly submitted through PlayHQ, unless a recognised exemption applies.

Junior Teams that do not meet these requirements by the relevant deadline below will not be entered into the competition fixture for Round 1.

Summer 2026/27 Deadline: Sunday, 27 September 2026

If a team becomes compliant after Round 1 fixtures have been released, FDBA will add the team at the next available grading phase. These occur after the completion of Round 2, Round 4 and Round 6.

To avoid disruption to teams, participants and scheduled competitions, coaches and team managers are asked to ensure their registration and screening details are complete.

Parents are also encouraged to support their club by ensuring team officials are aware of these requirements.

These requirements are in place to help provide a safe and supportive environment for all junior participants and to ensure all teams meet the required Basketball Victoria and FDBA child safety standards.

HOW TO: Update WWCC Details in PlayHQ

Members can now update their WWCC information directly through their PlayHQ profile.

Access Your Profile

  • Go to playhq.com and log in to your PlayHQ account.
  • Click on your initials in the top right corner to access your account details.
  • Click the ‘profile’ tab.
  • Scroll down to Child Safety Verification section.

Update Your Details

  • Click Edit in the Child Safety section.
    • If you are a teacher, please select “Victorian Institute of Teaching” under the ‘card type’ drop down.

 

 

 

 

 

 

 

 

 

 

 

 

 

  • Enter or update your WWCC information.
  • Click Save.

Example WWCC number: 1234567A-01

POTENTIAL FIXES:

  • Make sure there are seven numbers, a letter, a dash, and followed by two numbers, usually 01, 02 etc. (Example WWCC number: 1234567A-01)
  • The name on your card exactly matches the input in the Child Safety section in PlayHQ.
    • If your middle name is just an initial. Put it as an initial in the Child Safety section of your profile in PlayHQ.
  • Expiry date is correct and in date.
    • If still not working, re-enter the date, click save and refresh after 5 minutes.
